SkiBig3 is currently recruiting for the seasonal position of Administrative & Accounting Assistant to join our team for the 2026–27 winter season, beginning in late September.
Reporting to the Manager of People Operations and the Finance Manager, the primary focus of this role is to provide administrative and accounts payable support across all SkiBig3 departments.
This position works closely with multiple SkiBig3 departments and our resort partners: Banff Sunshine, Lake Louise Ski Resort, and Mt Norquay.
Position Details
- Position Type: Full-Time Seasonal
- Season Dates: Late September 2026 – Mid-April 2027
- Location: Banff, Alberta (Downtown Office)
- Wage: $20.50/hour + $1.00/hour retention bonus paid upon successful completion of the season
- Hours: Approximately 37.5 hours per week

Duties & Responsibilities
Administrative Assistant
- Handle and direct general enquiries via email
- Support the administration of seasonal employment contracts
- Collect and process driver's abstracts for fleet insurance
- Assist with contra and prize letter administration
- Coordinate the input and distribution of staff season passes
- Help organize company events and staff functions, including room bookings, catering, and decorations
- Act as the point of contact for resort supply requests, including lift ticket and season pass inventory, carabiners, ties, and other supplies
- Order and distribute office supplies for Head Office and Adventure Hub locations
- Reconcile staff timesheets with the payroll system
- Calculate and process season pass refunds according to company policy
- Calculate and process lift ticket refunds
- Administer fraudulent or misused season pass hotlisting procedures
- Coordinate courier and shipping requests
- Provide administrative and event support for SkiBig3 committees
- Maintain and update the internal company Wiki
Accounts Payable Assistant
- Accurately code and process vendor invoices, credit notes, and expense reports
- Verify partner invoices using Microsoft Excel and maintain accrual schedules
- Communicate with Reservations Managers and vendors to resolve invoice discrepancies
- Assist with EFT and cheque payment processing
- Reconcile vendor statements to ensure invoices are processed on time
- Maintain vendor files and accounts payable records
- Provide professional communication and correspondence with vendors
- Support minor internal IT helpdesk requests (training provided)
- Triaging usage change requests from SkiBig3 departments and resort partners
- Assist with accounts receivable processes when capacity allows
Required Skills & Experience
- Post-secondary education in accounting, bookkeeping, or equivalent technical work experience
- Strong Microsoft Excel skills
- Familiarity with accounting software such as Sage
- Previous accounts payable experience is considered an asset
- Ability to quickly learn reservation, ticketing, pass, and scheduling software
- Excellent organizational skills
- Strong verbal and written communication skills
- Proficiency in Microsoft Word, Excel, and Outlook
- Previous office administration and accounting experience is essential
- Team-oriented with a collaborative approach
- Strong attention to detail
- Professional attitude and presentation
- A valid driver's licence with a clean three-year driving record is considered an asset
